For years, getting a paper document into a system of record meant routing it through infrastructure. An MFP was configured to push scans to an on-prem network folder or a dedicated scan server, and for anyone working outside the building, reaching that server usually meant a VPN tunnel back to the corporate network. That model held up when work happened in one place. It strains the moment your workforce is spread across home offices, branch sites, and shared spaces.

As organizations move their document workflows onto cloud-native platforms, capture (the step that turns a physical page into a governed digital file) is often the last piece still tethered to legacy infrastructure. In this roundtable, members of the Mopria Alliance discuss how a standardized, cross-platform capture layer at the edge device can close that gap.

Separating capture from ingestion

The shift starts with a simple reframe: capture and ingestion are two different jobs, and they don’t have to live in the same place.

Mopria Scan initiates a scan directly from the Mopria certified scanner or multi-function printer (MFP) on the local network and receives a scanned document digitally, rather than capturing it with the mobile camera. From there, the file moves into the cloud-native application the user already works in, and that application handles the upload, the authentication, and the governance.

The architectural payoff is that there’s no scan server sitting in the middle of this particular path, and no VPN tunnel required to reach one, because the document doesn’t need to traverse corporate infrastructure to land in the cloud. For distributed teams, that’s less about replacing what already works and more about adding a modern, infrastructure-light path alongside it.

A worked example: Mopria Scan and Adobe Acrobat

This end-to-end flow shows how Mopria separates capture from cloud ingestion and workflow management.

A user places a document on a Mopria certified scanner and opens the Mopria Scan app. They select the device and scan settings, then initiate a scan, and Mopria Scan produces a standardized digital file on the user’s device. From there, the user taps “Share” and selects a cloud-native application such as Adobe Acrobat. The file is handed off directly to Acrobat, which uploads it into the Adobe Document Cloud. Once stored, the document is immediately accessible from any PC or mobile device signed into the user’s Adobe account.

In this model, there are:

  • No dependency on a network folder
  • No dedicated scan server
  • No VPN or IT-managed scan routing infrastructure

Mopria handles only the device-agnostic capture and output generation. The cloud-native application – Adobe Acrobat, in this case – owns authentication, storage, access control, and downstream workflow processing.

Replace Acrobat with another cloud-enabled application, and the structure of the workflow stays the same: Mopria standardizes the capture at the edge, while the destination application governs ingestion and lifecycle management in the cloud.

Siddharth Malhotra, Principal Product Manager, Adobe“Modern Intelligent Document Processing (IDP) workflows are rapidly advancing toward highly accurate automation of physical document capture, classification, extraction, indexing, and routing to specific business workflows. With increasing volumes of paper documents entering the IDP pipeline, the current focus is on ingesting large amounts of distributed, unstructured data while maintaining low human touch and high accuracy.

Natural Language Processing and Computer Vision, two subfields of Artificial Intelligence, are heavily used to transform unstructured data into structured data. With the advent of cloud-native platforms, these technologies have come to lean heavily on hyperscaler-hosted AI/ML models. However, reliance on cloud for standardization presents a reality check: high compute costs and impracticality in low-latency environments separated from the enterprise network (e.g., a plant gate, a warehouse floor, a remote job site).

This makes the question of “what cloud-native capture actually requires at the edge device” critical. A standards-supported, platform-agnostic capture layer at the edge device can handle first-level cleanup and categorization as part of capture itself and hand off high-value AI-driven processing to the IDP pipeline. This changes the business economics in three ways: less cloud compute spent on work that can instead be handled at the edge; less exposure of raw content off-premise in regulated industries; and fewer pages falling into an expensive human-in-loop queue, since OCR, classification, extraction, and indexing accuracy are limited by the quality of the page they’re handed.
